It also describes the rights available to California residents under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, "CCPA").
This policy covers the Site only. The Synchro platform itself is governed by our customer agreements and any privacy terms provided within the platform.

1. Information We Collect
We collect the following categories of personal information. Where indicated, categories map to those enumerated in the CCPA.
Information you provide directly
- Contact and identifiers (CCPA: Identifiers): name, work email address, phone number, job title, institution or organization name, when you submit a form, request a demo, or contact us.
- Communications (CCPA: Personal information under Cal. Civ. Code §1798.80(e)): the content of messages you send us, including through the chat widget on the Site.
Information collected automatically
- Device and usage data (CCPA: Internet or other electronic network activity): IP address, browser type and version, operating system, referring URL, pages viewed, time on page, and links clicked.
- Chat widget engagement data (CCPA: Internet or other electronic network activity): interaction events such as when the widget is opened, messages sent, and session duration. The widget uses a short-lived, server-generated session identifier rather than persistent cookies to associate events within a single visit.
- Approximate location (CCPA: Geolocation data): general region inferred from IP address. We do not collect precise geolocation.
Information from third parties
- Business contact data from marketing and CRM platforms or publicly available professional sources, used to supplement records you have already provided to us.
We do not collect sensitive personal information as defined by the CCPA (such as Social Security numbers, financial account credentials, precise geolocation, health data, or contents of private communications not directed to us) through the Site, and we do not use or disclose personal information for purposes that would require a "Limit the Use of My Sensitive Personal Information" right.
2. How We Use Personal Information
We use personal information for the following business and commercial purposes:
Responding to inquiries, demo requests, and support questions
Providing and operating the chat widget, including generating responses to your messages
Sending marketing communications about Synchro products and services (you may opt out at any time; see Section 8)
Measuring Site traffic, engagement, and the effectiveness of our content
Maintaining the security and integrity of the Site, including detecting and preventing fraud, abuse, and technical issues
Improving the Site and our products, including evaluating chat widget quality
Complying with legal obligations and enforcing our terms
We do not use automated decision-making that produces legal or similarly significant effects about you.
3. Cookies and Tracking Technologies
The Site may use cookies, pixels, and similar technologies for:
Essential functions – keeping the Site operational and secure
Analytics – understanding how visitors use the Site ([Analytics Provider])
Marketing – measuring campaign performance and delivering relevant content ([Marketing/CRM Provider, e.g., HubSpot])
The chat widget does not set cookies; engagement events are tied to an ephemeral, server-side session identifier that is not used to track you across other websites or sessions.
You can control cookies through your browser settings. We honor Global Privacy Control (GPC) signals as a valid request to opt out of the sale or sharing of personal information. We do not currently respond to "Do Not Track" browser signals, as no industry standard has been adopted.
4. How We Disclose Personal Information

Chat messages you send through the widget may be processed by third-party AI model providers acting as our service providers to generate responses. We contractually restrict these providers from using your information for their own purposes.
Sale and sharing
In the preceding 12 months, we have not sold personal information for monetary consideration.

If we do, you can opt out via the "Do Not Sell or Share My Personal Information" link in the Site footer or by enabling GPC in your browser.

5. Retention
We retain personal information only as long as necessary for the purposes described in this policy, unless a longer period is required by law. As a general guide:
- Form submissions and CRM records: for the duration of our business relationship and up to 3 years afterward
- Chat widget transcripts and engagement events: 12 months
- Server and security logs: 12 months
- Analytics data: 14 months, after which it is aggregated or deleted
6. Children's Privacy
The Site is directed to educators, administrators, and institutional decision-makers, not to students or children. We do not knowingly
collect personal information from anyone under 13, and we do not knowingly sell or share the personal information of anyone under 16. If you believe a child has provided us with personal information, contact us at hello@synchroeducation.com and we will delete it.
7. Your California Privacy Rights
If you are a California resident, you have the following rights under the CCPA:
- Right to know – request the categories and specific pieces of personal information we have collected about you, the sources, our purposes, and the categories of third parties to whom we disclosed it
- Right to delete – request deletion of personal information we have collected from you, subject to legal exceptions
- Right to correct – request correction of inaccurate personal information
- Right to opt out of sale or sharing – direct us not to sell or share your personal information
- Right to limit use of sensitive personal information – not applicable, as we do not collect sensitive personal information as described in Section 1
- Right to non-discrimination – we will not deny you services, charge different prices, or provide a different level of service because you exercised your rights
How to exercise your rights

We will verify your identity by matching information you provide against information we hold. For requests to know or delete, we may ask you to confirm the email address associated with your records. We will not require you to create an account.
You may designate an authorized agent to submit requests on your behalf. We will require written authorization signed by you and may ask you to verify your identity directly with us.
We respond to verifiable requests within 45 days and may extend by an additional 45 days with notice. Requests to opt out are honored within 15 business days.
Shine the Light
California Civil Code §1798.83 permits residents to request information about disclosures of personal information to third parties for their direct marketing purposes. We do not disclose personal information to third parties for their own direct marketing.
8. Marketing Communications
You may opt out of marketing emails by clicking the unsubscribe link in any message or contacting us at [hello@synchroeducation.com]. We may still send transactional or service-related messages.
9. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and tenant isolation within our platform infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Third-Party Links
The Site may link to third-party websites. We are not responsible for their privacy practices, and this policy does not apply to them.
11. Changes to This Policy
We may update this policy from time to time. We will post the revised version on the Site with a new "Last updated" date. Material changes will be communicated by a notice on the Site or by email where we have your contact information.
